Exchange

ArtEZ encourages students to spend some time studying abroad during their course at ArtEZ. We call this exchange. Before you go on an exchange, it is important that you arrange a number of things on time. Below, we explain all the things you need to keep in mind. If you still have questions after reading this information, send us an e-mail at exchanges@artez.nl.

What are the deadlines?

Always keep the deadlines in mind throughout the process. Applications received after the deadlines will not be accepted!

  • If you want to go on an exchange in the 1st semester or the whole academic year, let us know your top 3 of the partner institutions before 30 November!
  • If you want to go on an exchange in the 2nd semester, let us know your top 3 of the partner institutions before 31 May!

How do you apply?

Before you can apply for an exchange, you need to complete the steps below. Always keep in mind what you need to submit to the partner institutions and when.

    1. Talk to the head / coordinator of your course to discuss what might be an interesting exchange for you.
    2. Make a top 3 of the partner institutions that you find interesting. Please note: unfortunately, we cannot guarantee that you will actually be nominated for all the partner institutions in your top 3.
    3. Start preparing your portfolio (or recordings for dance or music students) early. In order to be admitted to the institution of your choice, a strong portfolio is important.
    • Let us know your top 3 via Osiris Student/Stay Abroad before the deadline. We will keep in mind the order of your top 3 during the nomination procedure.
    • After the deadline, the Student Affairs Department will look at all the applications and decide which student can be nominated where. We call this the nomination procedure. Please note: There are only a limited number of places available at each partner institution. For this reason, a selection regularly has to be made among the applications. This means there is a chance that you will not be able to be nominated for one or more institutions.
    • You will be informed by Student Affairs as soon as you are nominated for one or more of the institutions you have chosen. If you are nominated for one or more partner institutions, you are committing yourself to applying to those partner institutions.
    • When we aren't able to nominate you for one of the partner institutions, you will also be informed by Student Affairs.

    You should expect to wait 2-3 weeks for your nomination to be processed. We will take into account all of the deadlines of the partner institutions relating to your application.

  • You can only apply to our partner institutions if you have been informed by Student Affairs that you have been nominated! Keep a close eye on the deadlines and application procedures of the partner institutions yourself!

    • Submit your application to the partner institution(s) you have been nominated for.
    • Each partner institution has a different application procedure. Check the websites of the partner institutions carefully to see which documents you need to submit.
    • The partner institution will tell you and the Student Affairs Department whether you have been admitted. If you are admitted to more than one institution, let us know your preference by e-mailing exchanges@artez.nl. Don't forget to cancel your applications to the other partner institutions!
  • Once it is clear which partner institution you are going to, you can start with the application for a grant or scholarship.

    • If you are going to another EU country, or to Norway, Liechtenstein, Iceland, Turkey or Macedonia, you can apply for an Erasmus+ grant. You can find more information and the conditions on the Scholarships and Grants page. Once it is clear which partner institution you are going to, you will be sent a Learning Agreement and a Grant Agreement by the Student Affairs Department. You need to complete these documents and upload them in Osiris Student/Stay AbroadPlease note: your application for the Erasmus+ grant is only complete once you have submitted this Learning Agreement and the Grant Agreement.
    • If you are going to country outside the EU, you may qualify for a NL Scholarship. You can read more about the conditions, the application procedure and the deadlines on the Scholarships and Grants page. Once it is clear which partner institution you are going to, you will be sent a Learning Agreement by the Student Affairs Department. You need to complete this document and upload it in Osiris Student/Stay Abroad.

What else do you need to consider?

  • If you have a residence permit (to study) in the Netherlands, don’t deregister with the municipality! It is important that you remain registered somewhere in the Netherlands. Otherwise, the IND will think you have left and no longer require your residence permit. If you have questions about this, please contact the Student Affaris Department.

    If you want to go on an exchange with a residence permit for the Netherlands, there are conditions. Read more about the conditions on the IND website. Please contact the Student Affaris Department for this.

    If you need a residence permit for the country you want to go to, ask the partner institution you are going to if they provide help with this. If they don't, it is important that you start the process yourself in good time. It can sometimes take quite a while before you receive your residence permit. You also need to allow for the cost involved in applying for a permit. This varies from country to country.

  • Where you end up living depends on the institution you are going to. Some institutions have a campus where they reserve rooms for exchange students. In many cases, you need to apply for these ahead of time. So keep a close eye on the relevant deadlines for applications of that institution. Is this already relevant at the time of your initial application or do you only have to apply for housing once you have been admitted? You should direct questions about this to the partner institution.
    Like ArtEZ, many partner institutions don’t have a campus for students. In this case, it is important that you start looking for a room yourself on time. Just like in the Netherlands, there are many different ways to find a room. You can ask the partner institution for advice about this. You can also find a lot of advice on the internet. Facebook pages are also frequently helpful for finding student houses!

    If you go abroad for a few months, you may be able to sublet your room to another student – for example, an ArtEZ student who is just starting their course or an exchange student who is coming to ArtEZ for a few months!

  • Please note: if you are going on exchange to a country outside the EU, you need to be particularly mindful of insurance questions!

    Healthcare insurance

    All students need to be insured for healthcare abroad. Bear in mind that your insurance may not cover your medical costs, or not all of them. We advise you to contact your insurance company regarding the conditions of your insurance policy, and if necessary to take out a supplementary policy. If you are going to another country within the EU, you must have a European Health Insurance Card.

    Travel insurance

    ArtEZ has a collective travel insurance policy for students who go abroad on exchanges. Students are insured via the AIG Travel Guard travel insurance (policy number 60146509). Only trips made for ArtEZ fall under this policy.

    Liability insurance

    Anyone who performs work activities on behalf of ArtEZ is covered by our general corporate liability insurance (policy number V0100108272). This also applies to students doing a national or international exchange.
    Alongside this collective liability insurance, it is important that you have your own liability insurance. This is because only incidents which are work or study-related fall under the ArtEZ insurance. Contact your insurance company for more information about liability cover during your exchange abroad.
    In certain cases, the initial liability insurance for damage will be claimed from the party that caused the incident, in which case the ArtEZ insurance will serve as secondary insurance.

    Accident insurance

    Arrange for your own accident insurance if you do want to have 24/7 accident insurance during your exchange abroad.

  • Because you cannot use your Dutch student card abroad, you can receive compensation. For more information, go to Public transport allowance for course or internship abroad – DUO.
