Multi-factor Authentication

ArtEZ is continuously working on improving ICT security. Partly as a result of the recent ransomware attacks at other universities and universities of applied sciences, various measures are being taken up front and behind the scenes to further protect the ArtEZ network with user data, personal data and many documents. Like other universities in the Netherlands, ArtEZ has decided to introduce Multi-factor Authentication (MFA).

What is MFA?

MFA adds an extra layer of security to the login procedure. This method of logging in is also used, for example, by the government (DigiD) and banks for secure online banking. After entering the ArtEZ email address and password (something you know), a second authentication step follows via a separate device, for example via the mobile phone or tablet (something you have). This double way of authentication makes it much more difficult for malicious parties to gain access to your account because both the combination of the login name and password, as well as the second authentication factor via a separate device is required.

What is the impact?

All staff, students and guests will eventually have to deal with MFA when they log in to the ArtEZ network. In many cases this will only be once every few weeks. However, this depends on various factors, for example on the time you are inactive, or on the fact that you always log in with the same computer with the same browser or switch computers often.

What do you need?

MFA requires a mobile phone or tablet on which the app Microsoft Authenticator is installed, which generates the second login code and facilitates the final access.

If you have a replacement phone, you can go to https://aka.ms/mfasetup and change your settings and get a new phone. You can delete the old phone number.

If an employee or student is temporarily unable to use 2FA via a mobile phone, the Temporary Access Pass (TAP) functionality offers a solution. A TAP is an automatically generated code that the ICT Helpdesk can create and share with you. The Temporary Access Pass expires automatically after a set time and can be used several times. Suppose you have forgotten your phone or the phone is broken, then you can add it into your Temporay Access Pass for 1 week, so that you can log in with this TAP code throughout the week without further intervention from the ICT Helpdesk.

In this situation, the Temporary Access Pass also applies to you. The TAP code is valid for 1 week. You will have to call the ICT Helpdesk every week on 026 - 35 35 679 to log in to ArtEZ. The ICT Helpdesk employee will then ask a verification question about, for example, your date of birth or address.
